Lead Management Tool Overview + Flowchart

The Lead Management Tool is an add-on module within Startup Space that enables efficient lead tracking and management. Developed in collaboration with CalOSBA and CAMEO, this tool was specifically designed for Awardees to ensure all Treasury data requirements are tracked while leveraging integration with existing Startup Space tools to provide an intuitive lead management experience.

With Lead Management, Awardees can easily track new leads received through Lead forms or Referrals from other Awardees by accepting, declining, referring, and contacting leads—creating a one-stop shop for streamlined Lead management and reporting to CalOSBA.

Once a Lead is accepted, all gathered information is retained and automatically saved to the client profile within the CRM system.

Where is the Lead Management Tool located?

  • The Home Leads dashboard is accessible from the Startup Space Hub home screen. Awardee Hub moderators will see two Lead tables: Leads From Forms and Leads From Referrals

How is Lead Management activated?

  • Lead Management can only be activated by the EIC team—this has already been completed for your Hub.

How do leads enter the Lead Management tool?

  • Leads from Lead forms: Once a form has been converted into a Lead form, all new submissions will be populated in the Home Leads dashboard
  • Leads from Referrals: Once Lead Management has been activated, all new Referrals made from other Hubs will be synced into Lead Management

The Lead Management Tool streamlines how business leads move through your Hub with a clear, automated workflow. When a business owner submits a Lead form via CalOSBA or when you receive a referral from another Hub, the lead automatically enters your Lead Management System with a "Pending" status. From there, you have three action options: Accept the lead if your Hub is a good fit (automatically adding them to your CRM as a client), Decline if you cannot provide meaningful assistance, or Refer to another Hub or internal advisor for better-suited support. Moderators are also able to contact a new Lead using the Contact action button at any time unless the lead has been declined.

Each action triggers automatic status updates and notifications, ensuring complete Treasury compliance tracking while creating a seamless experience for both advisors and business owners. The system supports multiple referral levels, allowing leads to be passed between Hubs until they find the most appropriate service provider based on business needs, geography, or specialization.
